Purpose

This SOP outlines the requirements, timelines, and processes to ensure timely completion and submission of all mandatory program requirements required for participation in clinical skills sessions, shadowing, and other clinical encounters.

Scope

This SOP applies to all Pre clerkships Students and covers mandatory training, licensure, and documentation required at the start of the academic year or term.

Responsibilities

Students are responsible for:

  • Reviewing course syllabi and official program webpages for deadlines
  • Completing and submitting all requirements by the stated deadlines
  • Monitoring university email for reminders (link communication expectations SOP)

Immunization Requirements

Admissions requirements, including immunization documentation, are managed separately. Students must follow instructions provided on the official immunization requirements webpage.

Submission and Compliance Process

  • Initial deadline as stated in syllabus or webpage
  • A reminder will be sent one day prior to final cut-off
  • Final compliance deadline is one week after original deadline

Non-Compliance

Failure to complete mandatory requirements one week after the stated deadline will be reported as a major professionalism concern. In the interest of patient safety, regulatory compliance, and risk mitigation, non‑compliant students will not be permitted to participate in any clinical activities involving patient encounters, including but not limited to clinical skills sessions and clinical shadowing, until all requirements are fully met.

Exceptional Circumstances

Requests for extensions due to exceptional circumstances must be submitted in advance. This will be reviewed by the year chairs in consultation with the admin staff on a case-by-case basis.

Review and Updates

This SOP will be reviewed annually and updated as required to align with program and regulatory requirements by the program manager and the admin staff responsible for the required steps.
